This Helpdesk article will help you guide your tenants through reviewing and signing the report using the Tenant Portal.

You can complete an inventory report and send it to tenants using the mobile app, or once uploaded to the website, send the report to tenants via your desktop device. Tenants are emailed a link to view the report you have created. Here they can review the contents of the report and leave their feedback with photos.

| The Tenant Portal can be accessed on a mobile or desktop browser.

The tenant will receive a link via email to the report. Clicking the link will take them to the Tenant Portal where they can view and sign. Use the Tenant Portal live tracking to see if the tenant has viewed or signed the report.

The Tenant Portal will open on the homepage. This will state information such as the tenant's name, property address, report type, report date and the assessor.
By clicking Start review, the user will begin working their way through each area of the report.

Sign up for HelloReport via Android:

Download the HelloReport app from the Google Play Store (Android).
Once the app has been installed, click on the HelloReport icon to open it.
Tap Sign up. If you have already created an account in HelloReport Web App or mobile, click Log In.

Fill in your details, including your email address and name, and set a strong password.
Click Next.

Select the amount of properties you currently manage from the list.
Click Create account.

You may be asked by a member of the team to clear your app cache. This article will explain how to do this in just a few steps.

|| If your app is using a high amount of storage, we recommend clearing your mobile app cache.

On your mobile app, select the green Settings cog in the top right corner.
Towards the bottom of the settings page, tap Clear app cache.

Copy data from a previous report

If you have created previous reports for a property, you can copy the data from the previous reports. This also includes the defects and photographs.

Copy data from a previous report on the Mobile App

Follow the instructions in this help article to create a new report: Create a new report.
After selecting the report type for your new report, turn **Copy structure and data from previous report **on.
Click Report to copy and select the report you wish to copy the data from.

If you want to copy all the defects from the chosen report, turn Copy defects from the above report on.
If you want to copy all the photographs from the chosen report, turn Copy photographs from above report on.
If you are creating a comparison by copying an existing Inventory report into a new Check Out report, you can toggle off the Copy photographs from above report. You will still be able to see the photos on the previous report, however, you will be able to add new images for the Check Out.

||| When creating a comparison check-out report, enabling Copy photographs from above report will duplicate them on the previous and current report. In this case, keep them switched off to avoid having to manually delete the photos.

Managing the team: inviting users and revoking access

To add a new user:

Log in to the HelloReport web app.
Go to Account > Settings.

| Only Account Owner and Manager can add new users to the account.

Click to Team > Invite User.

Enter the user's name, email address and select their permission level.
Click Invite User to confirm.

|| An Assessor is only able to produce reports of existing property addresses, whereas Managers can manage other users and add properties. Please note that Assessors are unable to view reports that other users have created.

Once your team member has been invited, they will receive an email with a temporary password. They are required to click Accept Invite to be redirected to a login page.
After accepting the invite and inputting their temporary password, they will be able to set up their own password.
